CORE FLEET FUNCTIONS

Your fleet, at a glance.

Manage vehicles, people, spending and company controls in one connected workspace.

Vehicles & drivers

Vehicle management

Import vehicles with CSV or Excel, track lifecycle states and mileage, and keep driver assignments with each vehicle.

Shared vehicle booking

Reserve company vehicles for a specific time. Prevent overlapping reservations and record pickup and return.

Signed vehicle handovers

Capture mileage, condition, notes, and a drawn signature. Keep a downloadable receipt for pickup and return.

Recurring driver compliance

Schedule recurring checks, collect fresh evidence, remind drivers, and track eligibility for new assignments. Overdue tasks escalate to managers.

A focused mobile driver panel

Separate Dashboard and My vehicle pages, touch signatures, photo uploads, reminders, and notifications — with access limited to relevant tasks.

Daily operations

Accident & damage reporting

Drivers submit photos, incident time, location, and whether the vehicle is drivable. Fleet teams and assigned workshops can review the details.

Workshop job management

Keep scheduling, quotes, repair status, attachments, and completion together in the assigned workshop’s job file.

Service & invoice approvals

Review estimates, capture invoice PDFs, and approve the final invoice. Approval creates a service record with one linked expense.

Company inspection forms

Build company checklists, require photos, review submissions and track follow-up actions when an item fails.

Documents and deadlines

Keep vehicle documents, maintenance reminders and renewal dates organized so teams can see what needs attention.

Costs & company controls

Fleet costs and budgets

Compare cost per kilometre, recorded spending against budgets, and vehicle downtime. Keep currencies separate.

Organization and cost centres

Connect parent and subsidiary reporting and allocate vehicles to cost centres for clearer company spending.

Permissions and activity history

Give owners, managers, drivers and workshops access that fits their responsibilities. Keep recorded actions and approval decisions traceable.

Reports and integrations

Export fleet reports as CSV and connect business reporting tools through a secure, read-only fleet and cost reporting API.

Traffic fine management

Keep notices, incident-time driver checks, response deadlines and case history together. Company-paid fines link to vehicle expenses.

ONE PLATFORM. CLEAR RESPONSIBILITIES.

The right workspace for each role.

Assign vehicles, request driver checks, review repair estimates, and approve invoices before they become recorded costs.

  1. 1Assign a vehicle
  2. 2Review driver checks
  3. 3Approve work and invoices

Included with Premium and Enterprise

Sign in with your company Microsoft account.

Microsoft SSO lets employees use their company work account to enter their existing Fahrnex workspace. Each user needs an active Premium or Enterprise plan and company setup.

Made for teams using Microsoft at work

For example, a fleet manager can use the same company work account they use for Outlook or Teams. Drivers still see the driver panel; managers retain their existing permissions.

Company setup and personal confirmation

A company owner configures Microsoft Entra and maps existing teammates. Each teammate confirms the connection from their signed-in Profile before first use.

A paid-plan sign-in option

Basic accounts use normal Fahrnex login. Microsoft SSO is available to Premium and Enterprise accounts. Password login remains available.

Microsoft sign-in changes how you enter Fahrnex. It does not automatically create employees, assign roles, or end existing sessions when someone leaves the company.

COMPANY INSPECTION FORMS

Your company’s checks. A clear process for drivers.

Build inspection checklists with required photos and follow-up actions. Assign them to drivers and review the evidence in one place.

01

Build the checklist your company needs

Create a checklist for routine inspections, handovers, incident follow-ups, or compliance checks. Choose which items need a photo and define an action and deadline when an item fails.

02

Give drivers a clear inspection task

Assign the form to a driver’s current vehicle with a due date. Drivers receive a notification and complete it in My vehicle, adding a result for every item, problem notes, and required photos.

03

Review evidence and close follow-up actions

Managers receive submitted inspections for review. Failed items with a configured action create dated follow-up tasks. Record completion notes and keep a history of submissions, reviews, and actions.

Keep each inspection’s original checklist.

Template changes apply to new requests. Existing inspections retain their original version, answers, and evidence. Photos are private to the assigned driver and authorized company managers or platform admins. Forms run as separately assigned inspections.

Start in Company fleet → Company forms → Create form, then Request inspection. Drivers complete requests in My vehicle → Vehicle inspections.

TRAFFIC FINE MANAGEMENT

A clear process for traffic fine notices.

Bring private notices, incident-time driver checks, response deadlines, and case history into one fleet workflow.

01

Keep the notice and deadline together

Upload a PDF or image of the notice. Record the vehicle, issuing authority, reference, incident time, response deadline, and optional fine amount.

02

Find who was assigned at the time

Review vehicle assignments covering the incident time. A manager confirms the driver with a reason, or checks other records when no assignment matches.

03

Track the case through resolution

Filter cases due within seven days or overdue. Record responses, change deadlines with a reason, and reopen closed cases while keeping the full history.

Connect fine payments to fleet costs.

Record who paid, the actual amount, payment date, and a payment reference. Company-paid fines create one linked vehicle expense included in fleet cost reports. Driver-paid fines stay separate from company expenses. Duplicate payment recording is blocked, including after reopening a case.

Private records. Accountable decisions.

Notices and case details are restricted to company owners, managers, and platform admins. Assignment history suggests a driver; it does not automatically confirm responsibility. Responses and payments are handled outside the app.

Start in Company fleet → Traffic fines → Upload notice. Confirm the driver after checking the records, record your response, and close the case when resolved.

FLEET COST INTELLIGENCE

Understand what each vehicle costs.

Bring cost per kilometre, budgets versus actual spending, recorded downtime, and similar-vehicle comparisons into your fleet overview.

Cost per kilometre, with the right mileage

Divide recorded expenses by distance travelled in the same period. Managers enter opening and closing readings; missing or zero distance is shown without an invented cost per kilometre.

Monthly budgets against actual spending

Set a monthly budget for each vehicle and currency. Partial months are prorated by calendar days. Missing budget months are flagged instead of assumed to be zero.

Recorded downtime in one view

Combine recorded maintenance-state history with logged unavailable periods. Overlaps count once per vehicle, and open periods are measured up to the current time.

Compare vehicles on a consistent basis

Compare vehicles with the same make, model, fuel type, currency, and reporting period. The peer benchmark is weighted by distance and excludes the vehicle being assessed.

Clear inputs. Clear comparisons.

Currencies stay separate. The dashboard uses recorded expenses and period mileage; it does not estimate depreciation or the full cost of ownership. Missing data remains visible.

Open Company fleet → Overview → Fleet cost intelligence. Select a period, set vehicle budgets, record period mileage, and log unavailable time.

RECURRING DRIVER CHECKS

Keep driver checks on schedule.

Replace repeated manual requests with recurring checks, clear reminders, and an up-to-date view of who is eligible for new vehicle assignments.

01

Set the check and rhythm

Request a licence review, safety training, or policy acknowledgement. Choose a monthly, quarterly, six-monthly, or annual interval and reminder timing.

02

Review fresh evidence

Drivers submit notes or a document from My vehicle. A manager approves or rejects the submission, keeping previous evidence and decisions in history.

03

Stay ahead of the next deadline

Approval schedules a fresh check. Drivers receive in-app reminders before and on the deadline; overdue tasks are escalated to managers with weekly follow-ups.

Eligibility that reflects current checks

Upcoming renewals do not block new assignments before their due date unless rejected. Overdue required checks block new assignments and shared-vehicle pickup. Existing assignments are not ended automatically.

EligibleDue soonAction required

Managers see the team’s eligibility in Company fleet. Drivers see their own status and next required deadline in My vehicle.

Start in Company fleet → Team → Driver compliance → Request a check. Choose Repeat and Remind driver, and mark the check as required for driving when appropriate.

SHARED VEHICLE BOOKING

One vehicle. More than one driver.

Reserve shared company vehicles for customer visits, deliveries, or site visits. Check availability and keep pickup and return records together.

An ongoing driver assignment gives someone regular responsibility for a vehicle. A shared booking reserves it for a specific time.

  • Weekly availability calendar
  • Overlapping vehicle reservations are blocked
  • Drivers see their own booking details

FROM REPORT TO RECORD

How the workflow looks in Fahrnex

Repairs no longer need to live across inboxes, phone notes, and chat threads. Every step stays visible on the vehicle.

  1. 1

    Report the issue

Drivers or fleet managers create a repair job with priority, description, mileage, and attachments.

  2. 2

    Assign workshop and quote

A workshop is assigned, prepares a quote, and sends parts, labor, and service line items back digitally.

  3. 3

    Approve and execute

Managers review the quote, approve or reject it, and then track the repair status through completion.

  4. 4

    Invoice and history

The invoice, completion date, warranty details, and later vehicle history all stay traceable in one place.

Fleet maintenance FAQ

Use shared bookings when several employees need the same company vehicle at different times, for example for customer visits, deliveries, or site visits. An ongoing driver assignment is for regular responsibility; a booking reserves a specific time.

A manager enables vehicles in Shared vehicles → Settings. Drivers reserve from My vehicle by choosing a vehicle, times and purpose. Overlapping reservations are blocked. Driver requests need approval when the company enables it; manager-created bookings are confirmed immediately. At pickup and return, record mileage and condition and review and sign the handover.

The vehicle remains marked as in use until its return is recorded. Another driver cannot collect it while the previous assignment is active. Unused reservations can be cancelled before pickup.

Driver-only accounts have a dedicated Dashboard and My vehicle. Drivers can sign handovers, update mileage, report problems, submit compliance evidence, and follow updates there.

Yes. Drivers can download signed pickup and return receipts from their handover history while they remain a member of the company.

No. Small and mid-sized fleets often benefit the most because workshop coordination and internal approvals are still highly manual there.
